GENERAL GUIDELINES AND RULES FOR ABSTRACT SUBMISSION

Abstracts must be and  submitted using the official abstract template. The official language is English. Each abstract is assigned an abstract number. Once you have submitted, you will receive the abstract number. Please refer to this abstract number in any further correspondence. Once you submitted the abstract, there will be NO chance to make alterations on the abstract. Authors whose abstracts are accepted for presentation will be expected to attend the meeting and make their presentation. Notification of acceptance or rejection of abstract will be mailed by 15.07.2024. All accepted abstracts will be put on the official website of the Congress together with the final scientific program.

PREPARATION OF YOUR ABSTRACT

  • ELIGIBILITY: Abstracts should only be submitted if they or their main content are related to Hypospadias. Research on basic science and experimental studies and long term results related to hypospadias are particularly welcomed. Research presented at a national or international meeting prior to the commencement of the Hypospadias World Congress may be accepted if considered by the scientific committee interesting for the participants of the Hypospadias World Congress.
  • FORMAT: Abstracts should be submitted in MS Word Document (.doc, .docx) editing as follows:

Font: Calibri, 10 point / Spacing and Indentation: single 0 point (before and after)

Text body:  Please put the TITLE in capital letters.

The abstracts should be structured in five parts: – Aim of the Study – Methods – Results – Discussion -Conclusions

  • TEMPLATE: Each abstract should have a maximum of 250 words. Including tables, figures and graphs it should not exceed the template, which covers one page of A4. A maximum of two tables, figures or graphs are accepted.
  • DATA PRESENTATION: Abstracts must include data with clear descriptions of results and conclusions. For example – p value without data is not sufficient.

SUBMISSION AND REVIEW PROCESS

  • Please read the guideline of abstract submission carefully before writing your abstract. Please send the abstract in the special form designed.
  • When you submit your abstract you should please indicate if your abstract is a Case Report.
  • If you are submitting more than one abstract you should use the same email address for each abstract.
  • An abstract may be submitted to one section only. Do not double-submit by altering the title or resubmit to a second section. The following sections are defined:
  • Basic Science including Embryology
  • Chordee
  • Urethral Plate
  • Endocrinology
  • Psychological Factors
  • Epidemiology & Genetics
  • Surgical Techniques
  • Complications & Follow up
  • NO Editing: You will NOT be able to re-edit an abstract. Please double check and revise the abstract before submission.
  • Withdrawal: If you want to withdraw an abstract please contact abstract@hypospadias-society.org before June 30th, 2024.
  • The President of the Scientific committee will notify authors regarding the acceptance or rejection of their abstracts by 15.07.24. We will contact you by e-mail. It is therefore imperative that we have the correct e-mail address. The submitting author is responsible for keeping us informed if you change your email address.
  • Case Reports

Case Reports may be accepted as Poster presentations according to the decision of the Scientific Committee

Accepted abstracts will be available online and in the abstract book of the Congress.

By submitting an abstract the author automatically approves the inclusion of the abstract in the abstract book (if accepted for presentation) and he also approves the inclusion of his presentation in the HIS-Website available only for HIS-Members.

Presenters who would like to publish their work should submit the whole manuscript to the Journal of Pediatric Urology after presentation at the Congress. The decision for publication will be taken by the Editorial Board of the Journal of Pediatric Urology.

PUBLICATION OF REVIEWED PRESENTATION IN THE HIS E-JOURNAL

The accepted presentations will be peer-reviewed and will be published as narrated power point presentation in the HIS E-Journal.
